Document management
Open Practice Settings → Document management to set the timezone used in new email filenames and the default folder names for your cases. Practice administrators can edit these settings. Select Save settings to apply changes.
These controls are currently available with Case correspondence early access. If the tab is missing, ask your practice administrator to check availability in General & apps → Early access.
File timestamp timezone
Choose the timezone your practice wants to use for dates and times in new email filenames. This is a shared practice setting; individual cases cannot override it.
Click the timezone field and type a city or timezone, such as Sydney or Europe/London. Typing replaces the selected text. Choose a result from the list,
then select Save settings.
An email filename includes the message date and time, UTC offset, Sent or Received, subject, and a unique identifier. For example:
2026-11-01 14-30-15 +1100 - Received - Visa documents - a1b2c3d4e5f.eml
The offset reflects the timezone on the message date, including daylight saving. Changing this setting affects filenames created afterwards. It does not rename existing files or change when an email was sent or received.
If filing asks you to choose a timezone, save one here and retry the filing action.
Practice filing defaults
The starting folder names are:
| Item type | Folder name |
|---|---|
| Communications | Communications |
| Forms | Forms |
| Questionnaires | Questionnaires |
| Letters | Letters |
| Notes | Notes |
| Invoices and fee schedules | Finance |
You can edit these names and save them. Use the same name for multiple item types if you want them to share a default folder.
Automatic placement currently uses the Communications default for case emails. The other item types retain their existing filing behaviour. Saving these settings does not move or reorganise their contents.
When an email first needs a default destination in a case, Matter uses an existing matching folder or creates one. Saving the settings alone does not create folders. Once a case has a destination, changing the practice folder name leaves that destination and its contents unchanged.
Choose a destination for one case
- Open the case and go to Documents.
- Open Tools → Filing defaults.
- Choose an existing folder for the item type.
- Select Save defaults.
You can also open a folder’s action menu and choose Use as default… to assign item types to that folder. Case changes require permission to edit the case.
Select Use workspace default to remove a case override. The practice default will be used when that case next needs a destination. Existing items stay where they are; move them separately if required.
If Matter will not let you delete a folder because it is a filing default, choose another destination or remove its default assignments first.
External storage
Document management does not connect Google Drive or OneDrive. Configure those accounts under Integrations → Document storage. Changing a timezone or folder default does not move existing external copies.
See Matter setup for related practice settings.
